Who is responsible
The portal is provided by Plinth House Ltd, registered in England & Wales (company no. 10789078), 5 Saltwell Business Park, McMillan Close, Gateshead, Tyne & Wear, NE9 5BF (VAT no. GB 337763277). For any questions about this statement or your personal data, contact info@plinthhouse.com.
What personal data we process about you
- Your name and work email address, used to give you access to the portal and to send service notifications.
- Records of your use of the portal — for example sign-in times and key actions — kept for security and to help us support and improve the service.
The portal also displays course and enrolment information about the organisation’s learners. You access that in your role on behalf of the organisation; it is governed by the terms agreed with the organisation and the learner Data Protection Notice, not by this statement.
Why we use it
We use your data to provide the portal under the terms agreed with the organisation (a signed service agreement or accepted starter-pack terms), and — for security, audit and service-improvement — on the basis of our legitimate interests in running the service safely and reliably.
Where your data is handled
We use a small number of trusted providers to run the portal — for hosting, our secure database and sign-in, and sending service emails. They only ever process your data on our instructions. Some are based outside the UK, including in the United States; wherever your data is handled, we make sure it is protected by appropriate safeguards recognised under UK data protection law (such as the UK–US Data Bridge or standard contractual clauses).
Our online courses are powered separately by SCORM Cloud, which processes learners’ data under the learner Data Protection Notice, not this statement.
Cookies
The portal uses a single, strictly necessary cookie to keep you signed in during your session. It is not used for advertising or tracking, so no cookie banner is required.
How long we keep it
Account details are kept for as long as the organisation uses the service. When the agreement ends, the administrator’s account details are deleted or anonymised within six months. Security and activity records are kept for a limited period and then deleted.
Your rights
Under UK data protection law you have rights over your personal data, including to access it, have it corrected or erased, and to object to or restrict certain processing. To exercise any of these, or if you have concerns about how personal data is handled, please contact info@plinthhouse.com in the first instance so we can put things right. You can also raise a concern with the Information Commissioner’s Office (ICO), the UK’s data protection regulator, at ico.org.uk.
Security
Access is by a one-time email sign-in link — no passwords to remember or store. Connections are encrypted, and each organisation can only see its own data.
Changes
We may update this statement from time to time. When we make a material change, you will be asked to review and accept the updated statement the next time you sign in.
